Guide for those who moved from Trello to FlowFast

General information about FlowFast

FlowFast is a platform that helps to manage work and processes through their visualization. 

FlowFast  is very similar to Trello in its feature set and interface, so it won't be hard for you to learn the new service.

It also has spaces, boards, cards, and process reports, as well as features needed for Kanban and Scrum work.

FlowFast will help you with the following workflow elements:

  1. Reflecting tasks and distributing them by status, time, and employee; 

  2. Tracking the progress of tasks and performance of each team member;  

  3. Synchronizing different teams; 

  4. Identifying obstacles and problem tasks;

  5. Maintaining project reporting;

Useful functions of FlowFast that are not in Trello

FlowFast has almost all the same features as Trello. But there are important differences at the most basic level. 

To avoid creating dozens of separate boards, in FlowFast you can put several boards at once in one space

The hierarchy is as follows:

Company Account → Spaces → Boards → Cards

  • In FlowFast, you add users to a Space, not a Board;

  • You assign different access levels to each user;

  • And then you create one or more boards in that space.

One account can have multiple spaces with a different set of boards.

For example, Administrative space, Marketing space, Design space, Development space, Accounting space, etc.

Combining multiple whiteboards in one space allows you to visualize any workflow in detail and not have to switch from one board to another.

Conversely, the same whiteboard can be in multiple spaces with different levels of access at the same time

This is handy if you have a core department that is responsible for whole projects and you have a narrow-functional department. For example, a design department and a copywriting team.

You can create a separate "Design Space" with only one board with their tasks on it. And at the same time place that same board on a shared marketing space that displays all projects and milestones.

  • That way you'll limit the functional team's access to all projects and milestones.

  • And at the same time, you'll see the status of their work in your space without having to switch between different boards.

In FlowFast, boards have not only columns, but also lanes. Boards can be divided both vertically and horizontally

In Trello, boards are divided into "Columns" (Lists), they show the stages of work.

FlowFast also has "Columns" reflecting the stages of the workflow, but in addition to them, there is also a horizontal division into "Lanes".

This feature allows you to visualize workflows in even more detail and divide tasks on the board according to different criteria.

Options for using lanes:

  • Dividing cards on the board by priority ("Urgent", "Standard");

  • Dividing cards by person in charge (Each person in charge has his own track, no need to look through the whole pile of tasks);

  • Division of cards by type of task ("Track 1", "Track 2");

  • or any other way you like :)

In FlowFast, you can build relationships between cards on different boards using parent and child cards

If you have a large project and it has subtasks, you can build a hierarchy of parent and child cards in FlowFast.

What's important, is that this hierarchy is not limited. A parent card can have more parent cards and a child card can have more child cards.

If for some reason the work on the task is stopped, in FlowFast you can highlight such cards with the help of locks

In Trello, you had to use the following combination to indicate problems:

  • A "Pending" list;

  • a label that signals that something is pending on the card.

In FlowFast, you can "Block" the card and indicate the reason for the blocking. It will be highlighted in red on the front of the card. This saves time figuring out why the card is pending.

Also, you can block cards not only with a text reason, but with other cards. This allows teams to see the critical dependencies between them.

FlowFast has all necessary features for Agile approach, from WIP-limits to launching sprints for Scrum teams

In FlowFast, you can create special sprint boards, set sprint goals, and see Burndown and Team Speed reports without additional plugins.

To use the kanban method effectively, FlowFast has a feature to limit unfinished tasks ( WIP limit) in each column or lane.
