Time tracking in a card

In FlowFast, you can record the time you work with the card separately for each employee. This will help to:

  • understand how many resources were needed for a particular task;

  • allocate team resources in the future;

  • see how much time it took for a particular employee to complete his tasks;

  • see your own time spent.

How to record time spent on working with a card

Every employee can record how much time he spent working with a card.

To do this:

  1.  Open the card, click the triangle icon at the top of the card.

  1. In the window that appears, select the date and time of the start of the report. 

  2. Press "Start timer".

Additionally you can specify:

Comment – describe what the employee did at that time.

Role – if there are several participants in a card, an employee can specify their role, for example "Designer", "DTP Manager", etc. This will allow the manager understand how much time certain type of work took users.

❗️Do not confuse Roles in a space with Timesheets Roles.

Timesheets Roles can be created by a user with access rights to "User Roles" in Administration section:


Once the timer starts, the user will see the time countdown on the top panel of the FlowFast.

To stop the timer, click on the timed scoreboard in the card or on the top panel.

In the window that appears click on "Save and stop timer".

How to see the time spent on cards

Your time, spent on tasks based on time records via timer

Open the left side Menu → Dashboard → the Timesheets tab.

In this section you can view only your elapsed time:

  • How much time you spent on tasks in total over a certain period;

  • Which tasks you were working on and for how long.

This will help you better understand your workload and plan your deadlines.


Here you can also download your timesheet report in Excel format.

Open the left side menu → Dashboard → Timesheets tab → click on "Download" in the top right corner of the screen.

The time spent by other team members

In the administrative section "Timesheets"


❗️You must have access to the "Timesheets" administrative section (not to be confused with the personal Timesheets in the Dashboard section).


Open the left side Menu → Timesheets.


There you will see time records for all users. You can filter the data by spaces, employees, tags, boards, columns and time period.


The filtered information can also be downloaded in an Excel report format:


Watching your colleagues' time records in a card

If you start a timer in a card, a field appears with the information about the time spent:


By default, task participants only see their time records inside the card. But you can allow them to see other users' entries as well.

❗️To do this, you must have access to the Administrative section "Members" and "Timesheets".

  1. From the left side menu, go to the "Members" administrative section

  2. Select the user you wish to grant access and click on them.

  3. Place a tick in the box next to "Allow to read entries of colleagues in the card's timesheets"


By activating access, you provide the user with the ability to see the records of all employees who worked on the card.


Viewing total time spent on a specific task

To see the total time spent on a task:

  1. Open the desired space and go to the "Grid" section 

  2. In the field settings, check the "Total time" checkbox.


There is also a "Total time" column in the summary report and in the archive. You need to scroll to the right to see it.

Editing a time spent record

If you forgot to turn the timer off or on time, you can edit the time spent record.

Open the card, click the three-dot button and from the drop-down menu, select "Timesheets".


In the window that opens, you can edit or add an entry.

If you need to edit an entry, click on the line with the entry, edit the data and click "Save".

Note that only the author can edit their data.

If you need to create a new entry, click on "Log time", enter the data and click "Add".
